Planning Exact Online sales orders: from order list to delivery, invoiced in Exact

Exact Online handles your sales orders, stock and invoicing well. What it doesn’t do is plan who delivers what, and on which day. Most wholesalers and distributors we talk to fill that gap with a spreadsheet, a whiteboard, or a printout that someone marks up every morning. Then, after the deliveries, someone types the delivered quantities back into Exact so the orders can be invoiced.

Rondeo is a delivery planner that works with Exact Online and is listed in the Exact Online App Center. It takes over the planning without replacing Exact.

Connect once

In Rondeo, go to Integrations, click Connect Exact Online, and log in with your Exact Online user. That’s all the setup you need.

Your open sales orders, in a weekly planner

Rondeo imports open sales orders from Exact Online every 5 minutes, and again whenever you open the planner. Each order includes the customer, delivery address, items and requested delivery date. Customers are matched on their Exact account, delivery addresses on their Exact ID, and products on their item code, so you don’t need to set up any data twice.

New orders appear in the unplanned list. You drag them onto a driver and a day, and Rondeo can sort each driver’s stops into the shortest route. With one click you can print a loading list per driver and a packing slip per customer.

Delivered and signed, then straight back into Exact

The driver sees the day’s stops in the Rondeo app, navigates to each one, adjusts quantities if needed, and has the customer sign on the phone. Within a minute, Rondeo creates the goods delivery on the sales order in Exact Online with the delivered quantities. Partial deliveries are supported.

Rondeo doesn’t create invoices itself. You invoice the goods delivery in Exact Online as usual, so your financial process stays the same.

Fixed rounds without typing orders

Do you supply the same customers every week, such as bakeries, catering, cleaning supplies or gas bottles? You can set up the round once as a recurring order in Rondeo, and the orders appear on the planner a week ahead. After each signed delivery, Rondeo sends the order to Exact Online as a delivered sales order. Your weekly round gets invoiced without anyone typing an order.

The same goes for orders you create by hand in Rondeo or receive through the API. They can be sent to Exact as delivered sales orders, matched on customer number and item code.

Always clear what has been reported

Orders from Exact are marked in the planner and in the order list, and each order shows whether its delivery has already been reported to Exact. You don’t need to cross-check anything at the end of the day.
